Job Description
Under the supervision of the Supply Chain Manager, the Administration/Operations Assistant is responsible for the execution of administrative tasks required for the smooth running of the office. He/she will work in close collaboration with all sectors (Program, Finance, Supply Chain and Security). He/she will also work in close collaboration with partners outside of IRC.
Major Responsibilities:
Administrative management
Provide administrative assistance for all travel and accommodation needs of national and international staff and visitors in collaboration with Supply Chain.
Provide administrative assistance for renewal of visas and residence permits.
Provide administrative assistance with requisitions for purchases, expenditures, and reimbursement of expenses (PR, PRF, etc.)
Monitoring of lease contracts for the guest house and individual housing.
Ensure that updated pre-arrival and on arrival documents are shared with visitors.
Assist with office tasks (photocopying, scanning) Clerical services.
Prepare quarterly purchases of office supplies, stationery, cleaning supplies and toiletries in collaboration with the Inventory Manager and manage cleaning supplies and all office and household supplies.
Prepare payment request and ensure that all utility bills for office, guest house and individual apartments are collected and processed for payments in timely manner.
Report and follow up on all necessary repairs in the office in collaboration with the Logistics Department
Keep track of all items such as projectors, flip charts, tables, for meetings and workshops held inside or outside IRC, in collaboration with the organizers and the logistics department
Supervise the cleaners and cooks in line with their JDs
Work closely with the Security Guards to ensure gate signing on sheets are completed and filled appropriately.
Ensure the cleanliness of the office and surroundings
Initiate payments for the security guard’s company.
Perform any other duties as assigned by the supervisor.
Communication and Filling
Responsible for filling, tracking & managing Lease/MPA/MSA and other contracts
Management of the telephone and internet fleet: In liaison with the fleet management focal point, follow up on requests for additions to or removals from the list of beneficiaries, recharging of lines and provision of communication tools to eligible personnel.
Responsible for preparing correspondence, sending, receiving, transmitting and/or distributing, and archiving correspondence.
Responsible for the proper maintenance of the incoming/outgoing mailing registers.
Qualifications
• At least two years of work experience in a similar position with international non-governmental organizations or well-organized private institutions.
Demonstrated Skills and Competencies:
• Familiarity with the functioning of public services in Cameroon,
• Ability to work with minimal supervision.
• Excellent communication and interpersonal skills.
• Good command of ICT
• Ability to work in a team environment, prioritize high volumes of work while meeting tight deadlines.
• Ability to synthesize information.
• Flexibility and ability to respond to supervisor's requirements and instructions for service needs
Education:
• University degree in Management and Administration, Law, Finance or Organizational Management
Language Skills:
• Excellent writing and communication skills in French and English.
